ADMINISTRATIVE ASSISTANT FOR COURT 

SUMMARY

The Administrative Assistant for Court, under limited supervision, performs tasks necessary for the efficient operation of Fairview General Sessions and Municipal Court. These duties generally include maintaining court records, assembling court dockets, collecting money, assisting citizens and attorneys with matters before the court, as well as other basic office duties and tasks. The administrative assistant reports to the Court Clerk.

 

QUALIFICATIONS

High school diploma or GED is required. The ability to make reasoned and independent decisions, the ability to assist the public in an effective and professional manner, and experience in data entry and basic computer knowledge are required. Experience in public sector customer service, law enforcement, and/or previous court employment (local, state, federal) is preferred.

 

ESSENTIAL FUNCTIONS

Enter traffic citations and criminal case information into the court’s software system. 

Take payments, receipt, and record financial transactions related to the court. 

Effectively communicate with citizens, defendants, victims, attorneys, and city staff. 

Perform various administrative and clerical tasks including, but not limited to: making and receiving telephone calls, creating and filing reports, sending and receiving emails, disseminating court information, etc. 

Assist the judge with files, paperwork, and dockets while court is in session. 

Order and receipt operating supplies for the court department.

Perform other related duties as assigned. 

 

MINIMUM REQUIREMENTS TO PERFORM ESSENTIAL JOB FUNCTIONS

Attention to detail and accuracy in reporting and mathematical calculations.

Must be able to operate a variety of automated office equipment including computers, printers, copiers and facsimile machines, telephones, and cell phones. 

Valid driver’s license and the ability to operate a motor vehicle. 
 
Requires the ability to understand complex legal documents. 

Must be able to effectively give and receive assignments and directions.

Requires the ability to prepare documents and reports with proper format, punctuation, spelling, and grammar. 

Requires the ability to make independent judgments in absence of supervision.

Requires the ability to record and deliver information, such as in a public speaking situation, to explain procedures.

Must be able to follow verbal and written instructions.

Must have a full range of physical motion. 

Must be able to safely lift 25 pounds without assistance.
